Submitting a registration does not guarantee participation. All registrations are applications. Team Belgium Powerchair Hockey VZW will review applications and select the teams invited to participate. A selected team's place is not definitively reserved until the required 30% deposit is received. If the deposit is not paid by the deadline, the organiser may withdraw the invitation and offer the place to another team. Unselected teams have no payment obligation.
The current participation fee is €325 per person and applies to every registered delegation member, including players, coaches, staff and assistants. It includes three hotel nights, breakfast, lunch at the sports venue on tournament days, the official closing dinner and participation in official tournament activities. Regular evening meals are not included. Travel, transport, drinks, additional nights and other services not expressly included remain the responsibility of the team or participant.
After selection, the team must pay a deposit equal to 30% of its total participation price. The deposit is due within 30 calendar days of the invoice or payment request unless another deadline is stated. It forms part of the total price and is deducted from the final balance; it is not an additional charge. The place becomes definitively reserved only after the deposit is received.
The remaining 70% must normally be received no later than 90 days before the first official tournament day. If a team is selected later, the organiser may set another deadline. If payment remains outstanding after a reminder and reasonable final payment period, participation may be cancelled. Cancellation for non-payment does not automatically entitle the team to a refund.
Teams must provide accurate delegation numbers. Additional members are charged at the applicable participation fee and are subject to tournament and hotel capacity. A reduction is treated as a partial cancellation under these conditions. The final delegation size must be confirmed by the organiser's deadline.
Cancellations must be made in writing. More than 120 days before the tournament, amounts paid above the deposit will normally be refunded; the deposit may be retained for commitments and administration. Between 120 and 61 days, the deposit is non-refundable and amounts above it will normally be refunded, less specific non-refundable costs. Between 60 and 31 days, the team remains liable for 50% of the total price. At 30 days or less, the full price is non-refundable and remains payable. These rules may apply proportionally to individual cancellations. Exceptional circumstances may be considered case by case.
A selected team that has not paid its deposit may withdraw without a cancellation fee if it does so before the deposit deadline. Once the deposit is paid, the cancellation rules above apply.
A team may request a replacement participant. Replacements require organiser approval and may not be possible after hotel, catering, accreditation or other final lists have been submitted.
Failure to pay the deposit or balance on time may result in cancellation. Before cancelling for an unpaid balance, the organiser will normally issue a reminder and allow a reasonable final payment period. Amounts already paid are handled under the cancellation rules applicable at the time of cancellation.
The organiser may reasonably change the programme, schedule, venue or accommodation. If the tournament is cancelled and cannot reasonably be rescheduled, the organiser will seek to refund participation fees, including deposits. Where cancellation is caused by circumstances outside the organiser's reasonable control, refunds may be limited to amounts recoverable after non-refundable costs, to the extent permitted by law. External travel costs are not the organiser's responsibility.
The organiser is not responsible for failure to organise, continue or complete the tournament because of circumstances beyond reasonable control, including severe weather, natural disasters, fire, epidemic or pandemic restrictions, war, terrorism, civil unrest, government measures, transport disruption, power failure or venue or hotel unavailability. Reasonable efforts will be made to minimise the consequences.
Teams arrange their own transportation unless agreed otherwise. Each participant is responsible for suitable travel, medical, liability, equipment and cancellation insurance where applicable.
Each team remains responsible for the health, personal care and assistance needs of its delegation. Accessibility requirements requiring organisational arrangements must be communicated sufficiently in advance.
Teams and participants are responsible for their sports and everyday wheelchairs, chargers, batteries, sticks and other equipment. The organiser is not responsible for loss, theft or damage except where liability cannot legally be excluded.
Teams must comply with tournament regulations, sporting rules, referee and official instructions, venue safety requirements and reasonable organiser instructions. Serious misconduct may result in disciplinary measures or removal without an automatic right to a refund.
Participants and teams may be responsible for deliberate or negligent damage, subject to applicable law. Documented costs charged to the organiser may be passed on to the responsible team where legally permitted.
The tournament may be photographed, filmed and livestreamed for reporting, communication and promotional purposes. Where consent or another legal basis is required, the organiser will process media accordingly. Acceptance of these conditions does not replace consent where consent is legally required.
Personal data provided during registration may be processed for team communication, accreditation, accommodation, catering, competition administration, safety and invoicing. Data is handled in accordance with applicable data-protection law, including the GDPR. See the Privacy Policy for further information.
Teams must provide dietary requirements, allergies and accessibility requirements within the communicated deadlines. The organiser will make reasonable efforts to accommodate timely requests but cannot guarantee every request can be fulfilled.
Included hotel accommodation is arranged by the organiser based on team information and availability, including accessible-room availability. Specific room types cannot be guaranteed unless explicitly confirmed. Additional nights, upgrades and extra services may incur additional charges.
Schedules, ceremonies and other programme elements may change for sporting or organisational reasons. Significant changes will be communicated as soon as reasonably possible.
The person submitting a registration confirms they are authorised to register the team or provide the information. The representative must communicate conditions, deadlines and payment requirements to the delegation.
For minors, the team must obtain all necessary parent or guardian permissions and remains responsible for appropriate supervision.
The organiser will take reasonable measures to provide a safe, properly managed tournament. To the extent permitted by law, the organiser is not responsible for indirect losses or losses outside reasonable control. Nothing excludes or limits liability where prohibited by law.
Teams must respect deadlines for payments, player information, rooming lists, dietary requirements, accreditation and other administration. Missing a deadline may make services unavailable or, in serious cases, result in cancellation.
The organiser may reasonably amend these conditions because of organisational changes, legal requirements or circumstances outside its control. Material changes affecting confirmed teams will be communicated appropriately.
These Terms & Conditions are governed by Belgian law. The parties should first seek an amicable solution. If none can be reached, disputes will be handled by the competent Belgian courts.
By submitting a registration, the team representative confirms that the information is accurate, registration does not guarantee participation, selection is not yet a definitive reservation, the place is reserved only after the 30% deposit is received, the remaining 70% is normally due 90 days before the tournament, and the team accepts these payment, cancellation, tournament and organisational conditions.
